We have entered the home stretch of the 2008 Ardor in August exchange... This is just a reminder that your stories are due in ONE WEEK! (That's July 24). My, how the summer has flown!

Please, if you feel competent enough with HTML to add your own paragraph tags, and any italics you might have, feel free to put them in your document!! While this is by no means a requirement, with the number of stories we're expecting, it would truly be a gift to the administrators.

We are still looking for beta readers as well, so if you have time to beta someone's story, please let us know.

That’s right, it’s time for Ardor in August brought to you by the same folks who sponsor the renowned Slashy Santa and Jinglebells in June Fiction Exchange.

This year, the exchange will focus solely on the Elves, Man, Valar and Maiar of J.R.R. Tolkien's legendarium. Maybe it’s Legolas and Haldir you love, or perhaps Aragorn-on-Halbarad strikes your fancy... or maybe Manwe is your main man – from the First Age to the Fourth – spread the word, recruit your friends and fellow authors, and have some fun!

Sign-ups begin Tuesday, April 15, 2008 and will close at midnight (GMT-5:00) on Thursday, May 1, 2008. All stories will be due on July 24, 2008, and they will be unveiled on the http://www.geocities.com/slashysanta/ site on Sunday, August 7, 2008.

How does a fiction exchange work? It’s simple. READ THE RULES posted at http://www.geocities.com/slashysanta/ and you will find a link to the sign-up page where you may specify a pairing, rating, and the plot elements you would like to read, as well as the elements you are willing to write, and someone will write a story for you. In exchange, you will write a story for someone else using the specifications they provide. All stories will be submitted directly to the swap coordinators – you will not know whom you are writing for, nor will you know who has your request, until all fiction is posted on the Ardor in August website.

Even if you don’t want to take part in the exchange, you can still elect to be a reserve writer to be called upon in case of an emergency. Just say so on the signup form.

All we ask is that you adhere to some basic rules – If you sign up, please make sure that you can follow through and write at least 1,200 words. Please note also that this is a SLASH only FPS exchange (no RPS or het, please).

The Slashy Santa fic exchange needs a new name! (Why? you ask... Check out this entry for the news.)

It's up to YOU, dear readers and writers, to re-name our re-organized writing events. Our fic exchanges will now be held in February and August, so please put on your thinking caps and help us come up with a name that reflects these new times. Perhaps you've got a clever thought for a Valentine or Lupercalia name? Or are you thinking of our upcoming summer fic-fest-- Hot days, harvests, Lammas... it's all wide-open!! A play on words? A double entendre? A seasonal salute? A literary allusion? What sort of lusty, artistic, or heart-felt title would catch your fancy and inspire delicious works of slashy Tolkien goodness??

Here's how it works:


  • 2 suggestions per participant. You can submit one for each season, or two for one season-- either way is fine!
  • ANYONE can submit a name. You don't need to have been a Slashy Santa participant, past or present, to give us your input.
  • Entries will be screened! Mystery is good!
  • Entries will be accepted from April 2nd through April 6th (that's THIS Sunday, guys!)
  • On April 7, a poll will be posted here in the Slashy Santa LJ and you will be able to vote for your favorite new names.
  • On April 15, the day sign-ups for our Summer exchange begin, the new name-- along with the name of the winning namer-- will be announced. Excitement will ensue!

Big news here at Slashy Santa HQ! In this [hopefully informative] update, we will be introducing a lot of new information:

  • New Slashy Santa dates for 2008-2009
  • New rules for the fic exchange
  • An opportunity for *YOU* to create the new names for our exchanges
  • Sign-up information for the upcoming Summer fic-fest.

New Slashy Santa Dates for 2008-2009
After much consideration, the decision has been made to shift the Slashy Santa fic exchange away from the winter holiday season. Work, school, family, and travel obligations loom large for nearly everyone between the end of November and the New Year-- not to mention that multiple other fic exchange challenges, both within the LOTR fandom and beyond, run on a similar time frame... well, something had to give. We may have had a record number of participants this year, but we also had a record number of drop-outs, and it was no mean feat for Santa to make sure everyone had a gift last Christmas!

Henceforth, Slashy Santa will no longer be a winter holiday exchange, but rather a Valentine's Day exchange. It's mid-year counterpart will now occur in August so that we remain on a 6-month schedule.


New Rules for the Fic Exchange
I wish we didn't need 'em, but alas, we do. ALL of the old rules still apply. Hopefully, no one will find these new additions too restrictive.

  • Only stories pairing Men, Elves, The Valar and/or Maiar (Wizards) will be accepted. No Dwarves, Hobbits, or Orcs except as supporting cast members. There just aren't enough willing writers to write romances involving hairy feet, beards, or creatures with cannibalistic tendencies.

  • We WILL name names! If you default, your name will be put on a defaulter's list on the Slashy Santa website and/or LJ, and you will be banned from future exchanges. This, of course, is at the moderator's discretion. Obviously, emergencies arise, life happens, and extenuating circumstances will be dealt with as such: our intent is not to be cruel, but to remind participants that their commitment needs to be honored.

  • People who agree to pinch-hit will be reminded that they should, unfortunately, be prepared to do so. Please do not agree to be a pinch-hitter if you cannot, in fact, pinch-hit.

  • Manners are mandatory!! Just as you are required to turn in a finished, beta'd story, you are required to acknowledge the person who wrote for you in a timely fashion. If you're going to be out of town when the archive opens, consider making an LJ post to that effect, or alerting the moderator if you think it's going to be more than 3 or 4 days before you can get in touch with your writer. Even if you *hate* the story you are given-- and we certainly hope that's not the case!-- common courtesy dictates that you should at least say "Thank you for writing this for me." If you cannot gracefully thank the author who wrote for you, you may be asked to sit out the next round and contemplate the meaning of the word "Courtesy."



New Names for Our Exchanges
Since we'll now be opening our presents in February and August, "Slashy Santa" no longer seems quite appropriate. In a subsequent post, I will be soliciting your suggestions for new names which reflect the February/August or Valentine/Lammas seasons. Once suggestions have been collected, popular vote will determine the winners.

The 2007 Slashy Santa Story Archive is now open! We have a grand total of 59 stories by 54 writers this year-- quite a turnout!


I would like to extend a very special Thank You to all of our pinch hitters this year who truly went above and beyond the call of duty: Tena, Larien Elengasse, Zhie, *Koulagirl, and Alexcat. These ladies made sure that all of our participants had a gift to "open" today. *THANK YOU!*

I would also like to thank Talullah Red for helping with the coding... And that thanks is extended to all of you who took it upon yourselves to code your own stories. It was truly a great help and very much appreciated!



Authors: Now that the stories have been released, you may post or archive your work anywhere you’d like. We’d love it if you would include a mention of our site and that the story was written as a gift, but it isn’t obligatory. Dear Slashy Santa participants,
 
After a great deal of discussion, we at Slashy Santa have determined that postponing the release date of the 'Jinglebells in June' exchange is the best solution to accommodate the unprecedented number of extensions requested this year and the volume of stories that remain pending.
 
The revised date for the unveiling of this year's fiction will be June 28, 2007, rather than the previously communicated date of June 25.
 
The same rule applies to this revised date as previously established:  No fiction shall be published on any archive, personal website, LiveJournal, or online community until after the Slashy Santa site release date.
 
We understand that this delay may be frustrating for those of you who have already sent in your stories, but we ask for your patience and understanding while we wait for the remaining stories to come in.  It is said that good things come to those who wait, and we feel certain that this proverb will hold true for this year's fiction.
 
Please feel free to contact us with any questions or concerns you may have regarding this decision.

As promised, here is the list of the decisions we've made.  We attempted to keep the structure of the swap as close to the current format as possible.    If there are any questions, please let me know.

Signups will begin on Monday, so be watching this space for the official info!

And now, without further ado...   the list.

Fiction assignments:
- The signup form will be revised to more clearly differentiate between willingness to READ and WRITE.

- The method of story assignments will remain unchanged.  The admins will match requester to author, based on specifications on the sign-up form
- Confirmation of receipt and suitability of assignments will be REQUIRED from all participants.


Participation:

- Participation will remain open.  We will not require sponsors.

- The signup questionnaire will be revised to indicate a choice: participant, reserve writer, or both.

- A chart of participants will be maintained on the website and LiveJournal and will be updated as submissions are received.

- Reminders of upcoming deadlines will be sent periodically.  All reasonable requests for deadline extensions will be honored.

- A month before the deadline, a reminder and request for status will be sent.  If no response is received despite repeated attempts, your request will be automatically reassigned to one of the substitute writers and your name will be placed on Santa’s Naughty List.

- No-shows in previous swaps WILL BE BANNED unless they can present a good reason and convince the admins that there were extenuating circumstances.

 

Forum:

- We will continue to use the Slashy Santa website http://www.geocities.com/slashysanta/ as the primary forum.  Authors will submit their work to the admins, who will upload to the website on the release date.
- After the publication date, participants will be encouraged to self-load their fiction to the LiveJournal.  Fiction posted on the LJ receives a FAR higher feedback rate!  Yay feedback!

- We’ll give everyone a week or so to load their own to the LJ, and then we’ll start loading on the author’s behalf (story title, author’s name, recipient’s name, and a link to the website).  Try to load your own – if the admins post, feedback will go to them and not the author!

Content:

- The story length will remain at the current 1,200-ish word minimum, give or take.

- Content will remain the same – FP slash only, no RPS, Mary Sue/self-insert, songfics, or drabbles, no bestiality or pedophilia.  (The charming Ms. Zhie runs an affiliate het swap, and Thalassa’s photomanip group has an artwork swap during the holidays – ask us for details if you’re interested and we’ll put you in touch with them.)

Hi folks!

Just a quick update to let you all know what's going on with the swap.

Thank you all for your input, comments, and suggestions a few weeks ago.  It doesn't look like a poll will be necessary after all, because for the most part, the comments were surprisingly similar.

 

The most significant change this year will be the elimination of a second fandom.  The Slashy Santa exchange will, until further notice, be restricted to The Lord of the Rings fanfiction only.  Additionally, we'll continue to remain a slash-only exchange, with the previous restrictions remaining in force – fictional person only, no songfic, no pedophilia, no bestiality, no Mary Sue/self-inserts.  We will use our discretion regarding assigning BDSM, rape, or darkfic – these are EXTREMELY difficult to find writers for.

 

We’ll be revamping the signup form to further differentiate the “will write” from the “will read”.  Thanks for the suggestion!

 

One other minor change this year is the addition of a tracking chart to the website, where participant names and submission status will be listed.  As you all know, no-shows and dropouts reached almost epidemic proportions last year, and it was felt by many of you that maintaining a public list would help to reduce this phenomenon.  As one respondent wrote, “It’s easier to drop out if no one knew you were participating to begin with.”

We're currently working on putting together materials for the upcoming mid-summer fiction exchange (name to be revealed) and will have something out within a few days.  Keep watching this community for a more complete list of revisions!

Hello, authors, readers, and betas! Though the 2006 Slashy Santa exchange is barely behind us, it's already time to think ahead to the next exchange.  As we did last year with the Mistletoe in May swap, we are again planning a mid-season exchange for 2007.  It may occur in May, June, or July, but as the lifecycle of an exchange is around four months, it's not too early to start planning.

Most of you are probably aware of the challenges that occurred during the Slashy Santa exchange, as well as the Mistletoe in May swap.  The Slashy Santa team took every measure possible to ensure that this didn't happen - we asked participants to confirm their signups, confirm the receipt of their assignments, and sent three separate reminders, yet at the end, there were still a considerable number of dropouts and MIAs.  To clarify, this has nothing to do with the people who asked for extensions - those people remained in communication with us and ultimately delivered the finished product.  Our concerns are with the people we simply never heard from again, after they received the assignment.

As one person so aptly stated, sending multiple reminders isn't the solution, because the problem isn't about forgetting.  The issue is responsibility and accountability, namely the lack of, that sadly, some people have, as proven by the mad scramble we faced during both the MiM and 2006 SS.

Clearly, something has to change. 

We're actively soliciting your input.  You, the swap participants, fiction readers, lurkers, betas, and fellow swap owners, have the dedication and creativity we need to help us come up with a solution.

What we will do now is communicate some of the suggestions and comments we've received and open the forum to discussion.  In a couple weeks, once we've had the opportunity to hash over all the options, we'd like to put the future of the swap up to vote.  We'll open up a poll and let the participants help us decide how to proceed.

Everything at this point is open for discussion - nothing has been decided except that the Slashy Santa exchanges WILL continue!

The suggestions are, in no particular order, and with no bias:

Fiction assignments:
- Keep things the way they are (admins match request to recipient)
- 'draw straws' - throw all the requests in a virtual hat, assign a number to each participant, and let each author pick in order, 1 through xx.  Negotiations could be allowed - if you pick something you don't like, you can swap with someone who has a higher number, e.g. someone who has NOT drawn their assignment yet.  (There is a name for a secret santa exchange similar to this, something like White Elephant or Progressive, but exactly how it works escapes me.)
- Same idea as drawing straws, but authors are free to negotiate among themselves if they wish to change assignments. 
- Solicit fiction requests and the admins post them anonymously at a predetermined date and time.  Then, "if you want them, come and claim them."  *grin*  First come, first served to grab what you want to write.
- Randomly assign a number, 1-x, to each author and send each in turn two or three requests that the admins have determined would fit their requirements.

Participation:
- Contact a reserve group of writers whose sole purpose is to come up with emergency stories, in exchange offering an incentive such as an LJ gift certificate or artwork.
- Make the swap "by invitation only".  Inviting only 'proven' participants and active members of the fandom will hopefully eliminate the no-shows.
- For new participants, institute a 'trial swap' in which the unknown participant must successfully fulfill a drabble exchange before being allowed to sign up for a full-length story exchange.
- Open registration, but require new participants (someone unknown to the admins) to be 'sponsored' or vouched for by a known affiliate of the exchange (a mod/admin, current participant, or active fandom member).  Point of clarification - "new participant" in this case means someone whose name is completely unknown to anyone affiliated with the exchange, not someone who reads and participates in a group or LJ as a reader/commenter, but has never actually participated in a swap before.  Sorry for the confusion.
 - Publish a chart of authors on the forum rather than keeping the participants secret, on the theory that people will be less likely to non-perform if everyone is aware of who the players are.  Post progress reports as assignments are received, and mark those requests still outstanding.
- Post a "Wall of Shame" of past participants who did not turn in a story.
- Set milestones by which time a rough plot/theme must be submitted, and then thirty days (or another interval) before the deadline, a progress report received, or the story is reassigned to a standby group

Forum:
- Continue to use the Slashy Santa website http://www.geocities.com/slashysanta/
- Move to LiveJournal
- Create a Yahoo! Group for Slashy Santa.  Participants will be required to join the group in order to play.
- Participants self-load their fiction to the LiveJournal or Yahoo! group on the release day.  It's then up to the recipients to claim their own stories.
- Participants send their work to the admins, who will upload to the LiveJournal  or Yahoo! group on the release day. 
- Fiction is submitted to and posted by moderator on website/LJ/Yahoo! Group, and authors' identities are revealed a week later.

Content:
- Keep the story length (1,200 word minimum) and restrictions the same (no change)
- Add a genre (Real Person Slash, Mary Sue, songfic, drabbles, etc.).  (Note: Het will NOT will be considered, as the charming Ms. Zhie already runs an affiliate het swap, and there's no sense in being redundant)
- Add a fandom (Wraeththu?  Queer as Folk?  any others?)
- Eliminate a fandom (There is a good possibility that Anita Blake will be dropped from future swaps due to lack of interest, but if you feel strongly otherwise, please make your feelings known) 
 - Refine signup form to separate "what I will/will not read" from the "what I will/will not write"
-  Ask requester to specify XXX (three or four) words the fic needs to be based around, or a scenario, or a theme


Please feel free to comment on anything and everything.  Like an idea?  Hate one?  Think we're on to something, but have a different slant?  TELL US!  Let's brainstorm and secure the future of Slashy Santa, and ensure that everyone has fun, with a minimum of stress.  Any and all suggestions will be considered.  The only stupid ideas are the ones that remain unspoken.  The idea you think will *never* work might just spur a new idea from someone else, and will be the perfect solution.
